We want to provide a safe and secure user experience and our service is dependent on treating personal information both in confidence and with sensitivity. As such, we will ensure that the information you submit to us, or which we collect, via various channels (including our website, written correspondence/e-mail, conversations or meetings or via third parties (such as LinkedIn or online Job Boards), is used only for the purpose set out in this policy.

 

Importantly through this Privacy Policy, we aim to inform you about the types of personal data we collect, the purpose for which we use the data and the ways in which the data is handled. As in order to deliver Executive Search/Recruitment Consultancy Services, it is necessary for Emotus to process and store personal data. 

 

We also aim to satisfy the obligation of transparency under the EU General Data Protection Regulation 2016/679 ("GDPR") and national laws implementing GDPR.

Candidate Data

To enable us to provide the solutions and services expected of a professional Recruitment Partner to individuals exploring the job market, we may collect the following information, which is not exhaustive: 

 

Your personal details, including but not limited to your name and contact details (phone number, private email address, home address), links to public professional profiles and other relevant information from your Curriculum Vitae ("CV"), such as employment history, education and professional qualifications. In addition to which and to enhance our ability to identify suitable opportunities, we may ask for details relating to your current remuneration package/expectations, notice period, career motivations and aspirations, as well as details about your employment contract, such as any restrictive covenants.

 

Where do we get your information from? 

When you have approached Emotus directly, made an enquiry via the website, submitted your details to an online Job Board that we have access to or public social/professional networking sites, such as LinkedIn.   

   

Client Data 

To provide the solutions and services expected of a professional Executive Search/Recruitment Consultancy and help promote your business in a compelling manner, we will collect the following information, which is not exhaustive, unless you object:

Company/Group name, address and telephone number, website details, contact names (including job title, phone number, work email address and links to public professional profiles), information relating to products/services and financial/ownership information. 

Where do we get your information from?

Directly from you during meetings or telephone conversations, an enquiry via our website, exhibitions and from publicly accessible sources (Companies House, LinkedIn and Company websites etc.).  

 

How We Use Your Personal Data

 

Candidates

We will hold, use and disclose your personal information only for our legitimate business purpose, which is fundamentally to help you secure alternative employment that meets the expectations that you have conveyed to us. As such, we will match your details to relevant job vacancies and send your personal information to clients, in confidence, given your permission to do so.

Clients

We will hold, use and disclose your information only for our legitimate business purpose, which is to ensure we meet our contractual obligations/arrangements, by attracting and introducing suitably qualified talent for roles that we have been engaged to recruit for. In addition to which, we may occasionally contact relevant individuals about candidates who we believe may be a good fit or add value to your business. 

The Legal Basis For Processing Your Personal Information

Under GDPR, the main grounds that we rely upon in order to process personal information of clients and candidates is as follows: 

 

When necessary for entering into or fulfilling a contract and to provide the best level of service, plus meet our obligations, it will be essential for us to process your personal data.  

   

When necessary for the purposes of legitimate interests, we will need to process your personal data for the purposes of our (Client/Candidates) legitimate interests, provided we have established that those interests are not overridden by your rights and freedoms, including your right to have your personal data protected.  

 

Our legitimate interests also include responding to requests and enquiries from you, a third party, our website, informing you about our services and ensuring that our business is conducted in an appropriate and efficient manner. 

 

Candidates - We believe it is reasonable to expect that if you are actively looking for alternative employment, have made an application via our website or have posted your CV details on online Job Boards or professional networking sites, you are happy for us to collect and use your details to contact you in relation to suitable opportunities, as well as share with our clients, given your permission.    

 

How We Share Your Personal Information

Candidates

We will share your personal information, with clients who have vacancies or internally to obtain great objectivity and maximise your chances of securing the job opportunity you want. Equally we will share your personal information and where necessary, your sensitive information with trusted third parties, such as: Psychometric & Aptitude Testing, Reference Checking or Security Clearance companies, when required or as part of an agreed process.  

 

Clients

We will share your data internally to ensure we offer you the best level of service and with candidates, who we believe may be suitable for live vacancies and/or future opportunities.    

 

How Long We Hold Your Information

The personal data of all individuals we professionally engage with is stored securely. The length of time we will hold such data will depend on the service we perform and how long you require us to support your requirements. 

 

Hence, we may offer expert support and guidance throughout your career as a candidate, or for as long as you wish to engage with us. Equally, we will keep your personal data, for as long as you are an  applicable client and will seek to minimise the data we hold on individuals, should they no longer be actively involved in recruitment. 

 

Additionally, we conduct regular data-cleansing and updating activities to ensure that the information we hold is correct. With information held for a maximum of 5 years, after which time we will contact you with the option to either re-consent to our continued processing of personal data, or to have your details deleted. 

 

How You Can Access, Amend, Restrict Or Have Information Deleted

You have the right to request access to the information we have on you or for it to be amended, restricted or deleted. However, we will require evidence of your identity before we are able to act on your request. With a copy of the information held sent electronically, unless your request specifies a different method. For any subsequent request, we may charge an administration fee.

You can visit our website without giving away your personal information. Emotus uses Cookies and may use this information in order to analyse how the website is used. Any information collected would only be used to provide an overview of how people are accessing and using our website. It is not used for any additional purpose, such as to profile those who access our website and no personal data is processed. While you can use our website without giving out your personal information, once you contact us via the Emotus website, we receive (via email) information that you fill in (name, email address and other information provided). This information will be processed in accordance with our policy on Data Processing (see earlier) so that it is possible for us to contact and respond to your request, and/or allow you access to our services.

Emotus reserves the right to change this privacy policy as we may deem necessary from time to time to make it better or as may be required by law. Any changes will be immediately posted on the Website and you are deemed to have accepted the terms of the privacy policy on your first use of the Website following the alterations.
